Privacy Policy
This policy details how EWRF handles personal information in accordance to the Data Protection Act 2010. As our donors, supporters, volunteers and other stakeholders, we are committed to protecting your personal data and place a high importance on how we treat the personal data you share with us. We hope this policy helps you understand how we handle personal data and manage its disclosure.
During the course of our activities, we frequently gather and use personal data. This information may be obtained directly from you, or collected from third parties that have the right to disclose this information to us. We have very high expectations on anyone from whom we collect such personal data and expect that the information in the personal data is carefully protected and that any use of or dealing with this personal data is subjected to express or implied consent.
We ensure that your personal data is protected by maintaining physical, electronic and procedural safeguards that meets the applicable laws. We train our employees in the proper handling of personal data and require all other parties to abide by the same high standards. We do not rent or sell personal information to any other organization or individual. We only access your personal data based on the need to deal with it for the reason it was obtained. We collect, use and disclose personal information only for purposes that a reasonable person would consider appropriate in light of the circumstances.

Defining Personal Data
Personal data is information that is identifiable of an individual. This includes any information that can be used to distinguish, identify or contact a specific individual. Personal data is collected during donation drives, volunteer sign up events, workshops, training sessions or via our websites and social media channels.
Personal data may include, but is not limited to, information such as name, age, gender, identity card number, passport number, personal telephone number, email address, physical home address. If you are a donor, we have also collected credit card or bank information for the purpose of processing your kind donations to the organisation. On occasions, if you are a volunteer or have participated in some of our programs and activities, we may also have collected your images, videos, opinions or stories of you.
Please do note that in accordance with our Child Protection Policy, those who volunteer with us in our programs that involve work directly with children are required to further disclose information that would affect their suitability to work with children.
Purposes for Collecting Personal Data
Personal data is collected for reasons related to the specific stakeholders. If you are a regular donor, we may collect your data for the following reasons:
- To process applications for donation driven activities and merchandise.
- To establish a relationship between you and us and/or our third-party service providers.
- For servicing donors and the provision of products and services to donors, including processing of receipts and payments.
- To update donors on EWRF’s progress reports, volunteering opportunities, other project related updates and newsletters.
- For data processing and analyzing purposes.
- To respond to inquiries from donors.
- For internal record keeping.
- For such other purposes as permitted by applicable law or with your consent.
If you have volunteered / participated in our programs or wish to be a volunteer / program participant, we may collect your personal data for the following reasons:
- To establish a volunteering relationship between the volunteer and people connected to the projects / events / activities we are involved in.
- To coordinate your participation in our projects / events / activities.
- For awareness raising efforts to promote the organisation and/or our cause / work.
- To update volunteers on EWRF’s progress reports, updates, newsletters and volunteering opportunities.
- To verify a volunteer’s suitability to work with children.
- For data processing and analyzing purposes.
- For internal record keeping.
- For such other purposes as permitted by applicable law or with your consent.
If you have applied for an internship at our NGO or wish to apply as an intern, we may collect your personal data for the following reasons:
- To coordinate your internship in our NGO / projects / events / activities.
- For awareness raising efforts to promote the organisation and/or our cause / work.
- To update internship on EWRF’s progress reports, updates, newsletters and volunteering opportunities.
- To verify a intern’s suitability to work with children.
- For data processing and analyzing purposes.
- For such other purposes as permitted by applicable law or with your consent.
- To coordinate your internship in our NGO / projects / events / activities.
Disclosure of Personal Data:
Your personal data will be kept confidential. We do not rent, sell or exchange your personal data with other organisations / individuals, or with third parties. However, if you are a donor, your personal data may be used or provided to third party service providers under the following circumstances:
- To process donor’s one off or regular contributions.
- To provide data to our donor relations providers to assist with donor inquiries and database administration.
- To provide data to database system providers for record keeping.
- To perform functions on our behalf for the purpose the data was provided to us, such as sending postal or email letters / updates / newsletters / packages, text messages, calls and process banking / credit card donations.
- To provide data to online payment gateways and SMS service providers for the purpose of processing and updating donor’s contribution.
- To such parties as we or our affiliates may be required by the law, court, regulatory or legal process to disclose.
- To such parties as may be permitted under Malaysian law.
If you have volunteered / participated in our programs or wish to be a volunteer/ program participant, your personal data may be used or provided to third party service providers under the following circumstances:
- To establish a volunteering relationship between the volunteer and other people connected to the projects / events / activities we are involved in.
- To use videos or images for the purpose of our awareness raising efforts and with third parties to promote the organisation or the organisation’s cause/work.
- To update volunteers and donors on EWRF’s progress reports, updates, newsletters and volunteering opportunities.
- For internal and third-party related record keeping, data processing and analysis purposes
- To respond to inquiries from volunteers.
- To comply with our commitment to protect vulnerable children from all forms of exploitation and abuse, details, including personal data, relating to serious breaches of our Child Protection Policy may be shared with the relevant authorities.
- To such parties as may be permitted under Malaysian law.
Your Privacy Preferences and How to Contact Us:
Please be assured that you can elect not to receive further information from us by contacting us. If we have contacted you by email, you can use the unsubscribe function in that email to notify us that you do not want to receive further information from us. If you see your image or video on our social media sites, you can also email us to have them removed provided we have full control and authority to do so. You can also request to correct/update your personal data as needed.
